Meetings in 2026

Smarter, hybrid, sustainable and secure

6 meeting trends in 2026

The new year is the perfect moment to look ahead. What will business meetings look like in 2026? One thing is clear: technology is playing an increasingly important role. Organisations are looking for solutions that improve collaboration, save time and support more sustainable ways of working.

At i3CONNECT, we see six trends shaping the meetings of tomorrow.

1. AI as a meeting partner

AI is evolving into a true support for collaboration. Meeting assistants take care of notes, generate action points and analyse workflows. This allows teams to focus on content and decision-making, rather than administration. According to Gartner, more than 60% of organisations are already using AI tools to make meetings more efficient (1).

2. Equal hybrid meetings

Hybrid work is here to stay, but it is becoming more structured. Organisations plan fixed office days for collaboration and design offices as places to meet and connect. Technology ensures that everyone, remote or in the room, can participate equally. Meeting equity is a key focus: everyone should be able to see, hear and contribute (2).

3. Fewer meetings, more impact

Companies are managing meetings more deliberately. Shorter, more focused sessions, and only when they truly add value. Research by Atlassian shows that inefficient meetings remain one of the biggest drains on productivity (3).

4. The office as a multifunctional workplace

The office is becoming less of a standard workplace and more of a space for collaboration, culture and connection. Organisations invest in flexible environments, from focus zones to rooms for creative sprints and hybrid meetings. Deloitte notes that companies are consciously choosing multifunctional spaces that support different ways of working (4).

5. Sustainability in meeting technology

Sustainability is high on the agenda. Organisations opt for energy-efficient hardware, cable-free setups and systems with a long lifespan. Reducing e-waste and lowering the carbon footprint are key selection criteria. Deloitte reports that “green IT” will be a core part of European business strategies by 2026 (5).

6. Security and compliance as the foundation

With more remote work and digital meetings, the need for secure solutions continues to grow. Organisations want to be confident that conversations and data are well protected. As a result, they increasingly choose platforms that take privacy seriously and comply with regulations. Gartner predicts that investment in security for collaboration tools will increase by 20% by 2026 (6).

Ready for the way we’ll work together tomorrow

Meetings in 2026 are about more than technology alone. They’re about working together more effectively, communicating securely and investing with intention. AI takes over repetitive tasks, hybrid and virtual spaces make meetings more inclusive and engaging, and security and sustainability are essential foundations.

At i3CONNECT, we help organisations turn these trends into practical solutions that work, today and tomorrow.
